I thought that what was decided at the board meeting that it would *not* be the registrars at the table and trailer that asked for membership verification, that it would be the tech inspector. It will be just like checking the helmet sticker, but asking to see the membership card. The tech inspector will check the box off on the tech sheet.

Paul:

Yes, you are right. There is a box on the Tech Form, near/next to the helmet box. If the tech inspector doesn't ask for the card, the person at the envelope table can. If there is no record in their posession, then they will need to go to the Trailer where the Registrar will (hopefully) have the database print-out available to look up the name. If the Registrars are too busy, then one of the 4 A-X Chairs might need to help them find and verify membership.

It will start at Tech Inspection, preferably when the helmets are checked and the interiors are checked for loose items. This is the best time (in my opinion) to ask for the membership card, or document.

Sorry. I guess I was unclear before.

Since the registration form includes the PCA membership number, as long as that is filled in with a valid number, that should suffice.

How do you confirm validity? We can easily verify the number format, so the only question is whether they are paid up to date... Is there a way to get at least a Zone 8 members list with names and numbers?

Also, I still suggest we have a simple prepared form for those people without cards and advanced warning...

CFOS to Z8FOS

Actually, January''s Witess has the minutes from the December meeting where this decision was made.
The short answer is that the chairs for the event resigned over what they perceived as too much interference, control, oversight by the Board and with the late date and timeline the Board did not feel that they could afford to risk the amount of money it takes to put on the event. There were no volunteers forthcoming within the region to manage this year's event at the late date.
The Zone was interested in running the event and now under the previous management it may go forward as a Zone 8 event. I would think that there are still several details to be ironed out in the next couple of months.
Yes the CFOS has made money in the past and if there is no money this year it will have some impact overall on the budget.
On the other hand, it would only take a set of storms like this week to put a very big dent in any financial models.
Is the Forum the best place to discuss these issues :?:
Not sure, but on the other hand, what is left for discussion?

For the first couple autocrosses we can have someone verify all the numbers are active with PCA after the event. Anyone who is inactive and drove will have to prove re-activation before the next one.

If their is a way to verify the numbers online I will volunteer to do this for the club.

Pretty simple I think to have your card or number with you at the event!

Verification

FYI: Under PCA's very stringent privacy rules, there is no way we can obtain a list of members of any region(s) other than our own.

Martha - that may be ok for the 10% of the AX attendees who read these forum threads. What about all the attendees from other regions, or SDR attendees who aren't aware of this new policy? I think we would have a lot of unhappy would-be attendees if we turned away everyone who didn't know they needed to bring their PCA cards.

From my earlier posting:

----------------------------

Can I suggest that for at least the first few AX's that we have a simple form that people can sign, attesting that they ARE members in good standing (well, at least paid up) of PCA?

Something like:

I, driver name , hereby state that I am a current member, family member, or associate member in good standing of the Porsche Club of America (PCA). My membership number is number here .

I understand that only current members, family members, and associate members of PCA may participate in these PCA events.

If family or associate member, the full PCA member under whose membership you are participating is member name , membership number number here .

Signature and date

If we have a pile of these preprinted at the trailer, we can speed up the process and not reject anyone for failing to bring their membership card. :D

Have we had some sort of epidemic of people attending AXes that do not have memberships or expired memberships? I don't really understand why we have to be so strict about this.

I don't carry my card around with me. It's in a portfolio with all my other car club membership cards, licenses, and racing what-have-you. I don't really like the idea of carrying the entire portfolio down to the stadium. It's different at the track since I can just leave it in the truck (secure and out of the weather). No a BIG deal, but chances are pretty good I'm going to forget to grad the portfolio and/or the card for at least the first few AXes, if not the majority of them.

<random-thoughts>

So what's going to happen with people that work and get their cars teched while they work? Do they leave their membership card on the windshield also  ?

Do you get sent home after throwing the track if you forgot your card?

Isn't putting the membership number on the entry form enough?

If you pre-register then it would be natural to assume that your membership has been verified prior to the event. If it can't be verified then then the driver should be requested to bring "proof of membership" to the event and his/her entry flagged.

If you are a walk-up then bringing your card is not such an out-of-the-ordinary requirement.

Maybe this is just an obscure way of keeping the attendance down. I mean if there are 120 entries at an AX a certain amount are bound to have forgotten their card, say 10-15%. So you've just decreased the attendance down to 102 quickly and easily.

Yeah Mikey, I think the pendulum has swung too far. Perhaps we can bring a copy of our card to the first auto-x and then that will be kept on file???

Just a thought: We can probably expect a number of people from PCA National will show up in January to see/enjoy the almost-famous SDR autocross. Is this really the best time to attempt to enforce a controversial new policy? Perhaps we could explain it at the driver's meeting and announce a future date for implementation.

Carl

I think that is best idea. We will start the policy on the 30th and begin enforcing it the next AX. With a grace period and maybe also a wavier as Kim suggested. It might be possible to have data base so that the people who have their card stowed away some place will only need to break it out once a year and show it to us. You could even make a copy of the card and throw it in the glove box.
