No water or ice at AX?

Postby gulf911 on Mon Feb 15, 2010 3:17 pm

Can someone let us/me know what the cost is to provide water and ice to an event? i would bet a 1-2 dollar increase in the ax fee would more than cover it and most if not all would not mind paying it.

On a side note what does it cost to produce the witness? I heard discussion of why not post it as a pdf and not go through the printing costs? Printing costs must be pretty high?

Just food for discussion... :beerchug:

I believe they were saying that they were going to discontinue sodas, Gatorade and ice, but keep water and beer, Dan.

Of course the question that arose: what the hell good is beer going to be without ice? I don't drink, but the thought of warm beer at the end of a long, hot day, maybe not so refreshing?

I may have misunderstood that...but warm water doesn't work either.

Could a board member please clarify exactly what is proposed to be cut in the ax refreshment area?

Thanks!

Must say I think it is a poor choice to let people go all day without drinking water/Gatorade, then giving them beer before driving home.

Let them bring their own beer and supply non-alcoholic drinks.

+1. If a choice has to be made for budgetary reasons, it makes more sense to me to supply the drinks and ice during the event to keep everyone well hydrated and cut the more expensive alcoholic beverages after.

FWIW: I'd be happy to supply my own after-event "refreshments" if the club could/would be willing to supply the water/ice during the event.

I would also recommend that a phone call from logistics chairs to registration chairs ... or a glance at the roster on SportsReg.com ... a couple of days prior to the event may help in reducing/eliminating excess ice/drink purchasing before the events by knowing the anticipated turn-out.

At the Driver's Appreciation event last December there were cases and cases and cases of drinks in the trailer that were simply unloaded in the AM and re-loaded in the PM. 3 or 4 bags of ice went down the drain as melt-water. (Just a suggestion here.  )

I believe the objective was to save 2-3000 for the season. As someone suggested at the event, just add $5 to the entry fee. I would have no problem with a small increase.
That should more than cover the costs.

Yes there will always be supplied water at our driving events.

Until the economy gets better we need to reduce the costs of all of our events. Hopefully these reductions will not last long.

Beer at days end: A suggestion has been made that if it's BYOB - will folks have a beer after their timed run is over - sometimes 90 minutes or more before the event end? If it's BYOB will more folks leave after their timed run and only the corner workers and last run group be the ones to always be taking down the course and loading the trailer? Will BYOB diminish the comraderie at the end of the day? Perhaps we should try it and see what happens? If beer is supplied, we can get ice as we don't need too much for this.

Ice - When I was the Logistics guy, the present company was the least expensive (and probably still is). Unfortunately they have a 400 pound minimum ($90) - we need more in the summer, less in the winter. This should be looked into again. One time I had to go get it myself the morning of the event. It was a pain getting the amount we needed at the 711 - and luckily a 944 driver volunteered their car.

Keep commenting. Again, when the economy gets better all these items can return.

Not sure if it would help or not.

What about spending a little to save a little.

IE. Purchase some big Coolers to replace the Buckets. Then less Ice might last longer, thus reducing the long term costs.

Just a Thought!?

As far a cost increase, I'd be careful. BMW we are now up to $60, but we do supply Lunch with that and Instructors get Free Practice runs, and reduced cost for Timed runs.

The BMW Feb 20th event is already sold out with a cap of 90 entrants.

I certainly hope we are not going to nix ice for the water , at only $90...

I'm in with adding $5 for the ice, water and after event refreshment. So $50.00 for a AX. I'll donate a cooler also. I am on my 3rd season and have had some of the best times of my life with this crew. Let us all pitch in and keep the tradition going.

That must seem like quite a bargain compared to your monthly prescription bill. :roflmao:

I vote for bumping up the fee a bit or treating post-event refreshments as an honor bar - if you have a beer or two, throw some cash in the kitty. That also aligns the expense with the partakers. I don't think BYOx will work.

:D :D :D :D

Carl Scragg, Curt Yaws and I met last night to review and strategize the club budgets last night.

We may be able (most likely) to keep everything as is (not drop anything).

More later after the March board meeting.

Thanks for the input. :beerchug:
